DoliProspectForm — User guide

This guide presents the module from the end user’s perspective: what it is for, how to use it day to day, and where to find the main actions in Dolibarr.

 

What is this module for?

DoliProspectForm lets you offer your prospects public forms that work without a Dolibarr login: they can enter their details and attach documents (for example energy bills as PDF), directly from a link you send them.

Individual

Private person: identity, address, and attachments.

Business

Company (search by trading name or identifiers when available), registered office address, contact person, and attachments.

A routing page can be offered: the prospect picks the form type that fits their situation before continuing. Data feeds your Dolibarr third party record, contact, and files on the card, depending on the scenario.

Who does what in the organisation?

Role Typical use
Administrator Enables the module, configures forms, texts, notifications, and “anonymous” links if needed.
Sales / business user Uses signed links or invitations, reviews submissions.
Prospect (external) Opens the link, fills the form, sends attachments, without a Dolibarr account.

First steps after activation

  1. Default texts for public pages are ready to use; you can customise them in the module configuration.
  2. Useful email templates may be created automatically; find them in Dolibarr’s email template administration.
  3. Check Dolibarr email sending and notifications for new submissions.

Where to find the module in Dolibarr

The module appears in the main menu under its own entry (label such as “DoliProspectForm” depending on your language pack).

  • Dashboard — overview and follow-up
  • Invitation — guided flow to e-mail the prospect
  • Completed public forms — submission history

Advanced settings (which forms are enabled, link lifetime, technical user, texts, notification template, fallback email, etc.) are in the module configuration.

Having a prospect complete a file

Links from a Dolibarr e-mail or mailing

From a third party card, substitution tags can insert links to the routing page, the individual form, or the business form. The right sales representative is tied to the case depending on context.

Your administrator can tell you which tags to use (help screen or configuration).

“No sales user” link

For a website or generic campaign, a stable public link can be shown in configuration. On the routing page, the visitor may enter a Dolibarr consultant e-mail when that option is offered.

Invitations from the module menu

Creates a prospect third party with a provisional label, optional e-mail, then opens Dolibarr’s send-mail screen. The link received lets the prospect complete the record that was created.

On the prospect side: form flow

Opens the link (e-mail, SMS, website, etc.).

Following up on requests received

The completed public forms list shows type, date, third party, number of attachments, subject to your Dolibarr permissions.

Email notifications can alert the identified sales user, otherwise a fallback address set by the administrator. Content depends on the selected email template.

Good practice

  • State clearly which documents to attach (help texts in configuration).
  • Test the full journey after a configuration change.
  • Treat links as sensitive access.
  • Expired link: check the configured lifetime and send a new invitation if needed.
