DoliLocation 1.0.3 — rental management built into Dolibarr

DoliLocation (technical name ksilocation) adds a complete rental operation to Dolibarr: a rentable catalogue, an availability engine, rental files, deliveries and collections, condition reports, deposits and damage handling. It does not replace Dolibarr's documents — it drives them. Version 1.0.3 ships 166 files, 94 of them in PHP, 45 screens, 30 tables, 10 permissions and 725 translation keys per language, in 5 languages (French, English, German, Spanish, Italian). Published by KSI 30 (KSIDol.io) under GPL v3.

10 preset trades

You pick your trade and the module sets itself up: construction plant and site equipment · events and hospitality · vehicles · audiovisual, sound and lighting · light mobility (bicycles, scooters) · venues and spaces · trailers and light commercial vehicles · medical and paramedical equipment · IT and office equipment · linen, tableware and light catering.

These ten presets are a starting point, not a ceiling: each of the module's 18 capabilities can be switched on or off on its own, and presets combine freely — enough to configure DoliLocation for well over ten different ways of renting things out.

Availability engine and pricing

Availability is computed to the day, with no overlap, so a return and a departure can follow one another on the same day without a phantom conflict. Preparation and refurbishment lead times are taken into the calculation. Temporary holds expire on their own instead of silently freezing your fleet, and confirmation is protected against double booking: two simultaneous confirmations cannot overbook the same capacity. Pricing works by durations, tiers and seasons, and a pricing snapshot is frozen on the contract — a later change to your rate card no longer alters a committed file. Measured performance: 1,000 fleet units and 1,000 confirmed rental files.

The module lives inside Dolibarr: 8 built-in tabs

• Product file, "Rental" tab — makes the item rentable, sets its time unit and its minimum duration, and shows the rental history of that item. The catalogue you already maintain becomes your rental fleet, with no parallel list to keep in step.
• Third party file, "Rentals" tab — every file for that customer, current and past. At the counter or on the phone, one click answers "what does this customer have out, and what did they have before".
• Quote (commercial proposal), "Rental" tab — the periods carried by the lines, with the electronic signature from the Dolibarr core, timestamped and archived. The customer's agreement stays attached to the document that was priced.
• Order, "Rental" tab — the rental file backed onto the native order, with no double entry. Sales follow-up stays in Dolibarr while the rental dates sit on the same record.
• Shipment, "Rental" tab — the delivery of the equipment and its collection. The crew reads the departure and the return on the shipment they are already handling.
• Warehouse, "Rental" tab — what the depot holds and what has left it. A stock count stops being guesswork: what is missing is out on rent, with the file that explains it.
• User, "Rental" tab — what that staff member is responsible for. Handovers between drivers, technicians and counter staff become traceable.
• Project, "Rental" tab — the files attached to the site or the event. The result of a job includes the equipment it consumed.

What is included

One single offer: the module and its 5 languages, the 6 document templates, the 3 scheduled jobs (release expired holds, retry failed channel deliveries, check the integrity of the rental operations log), the counter that identifies an item from a scanned code (barcode, serial number), logistics and runs, the public booking mini-site, the channel layer, the REST API, and the append-only operations log with its chain of fingerprints. The two companion connectors are included at no extra cost and delivered as separate packages: WooCommerce (WordPress extension) and PrestaShop 8 (module). Native documents created by the module: quotes, orders, projects, and shipments in draft, so no unintended stock movement. Serial numbers rely on Dolibarr's native lots and serials.

What is not included

The deposit is recorded, not charged: no accounting entry is written without a justified deduction, and the module does not take card payments or pre-authorisations. Shipments are left in draft for you to confirm yourself. MariaDB 10.11 is the only database engine tested. PHP outside 8.1 to 8.3 is not covered at runtime. The connectors, though included in the price, are installed separately on your WordPress or PrestaShop site.

Dolibarr 18.0.6 to 24.0.2, proven tier by tier on seven versions — 18.0.6, 19.0.4, 20.0.4, 21.0.4, 22.0.5, 23.0.4 and 24.0.2 — with 799 checks green per tier and no failure. PHP 8.1 to 8.3 tested at runtime. Database: MariaDB 10.11.
