Automatic Follow-Ups for Commercial ProposalsThis module adds automatic email follow-ups to validated commercial proposals in Dolibarr. You will never leave a quote unanswered again, and you no longer need to manage follow-ups manually.
A scheduled task runs every hour. It sends a follow-up email, with the quote PDF attached, to the quote contacts assigned the "Customer Contact for Proposal Follow-Up" role.
Follow-up intervals and the number of follow-ups (in days) can be configured (e.g. 7,15,30). They are calculated from the date the quote was sent to the customer. The "Sent to customer on" field is automatically populated when the quote is sent by email from Dolibarr.
Follow-ups stop automatically in the following cases:
The quote is signed, rejected, or invoiced.
Its validity end date has passed.
The maximum number of follow-ups has been reached.
The "Do not follow up" checkbox is selected on the quote.
Several settings allow you to schedule email sending: maximum number of emails per execution, sending time window, and sending days.
The sender can be the company's email address, the default sending email address, a sender profile, or the sales representative responsible for the quote. A BCC recipient can also be configured, either the sales representative or a fixed email address.
Follow-up emails use a native Dolibarr email template of the "Commercial Proposals" type. A default template is created when the module is activated. All standard substitution variables are available, along with module-specific variables: follow-up number, online signature link, validity end date, etc. You can view the follow-up email sent directly from the agenda events.
Emails can be sent in multiple languages: create one template per language. The module automatically selects the language based on the contact, the third party, or the country. The attached PDF is generated in the same language.
A "Send Follow-Up Email" button on the quote card allows you to send a follow-up manually. The card also displays the date of the next scheduled follow-up.
Each follow-up, whether successfully sent or failed (missing contact, invalid email address, etc.), creates an event in the Agenda, linked to the quote and the third party. The latest error is displayed in the "Last Follow-Up Error" field, which can also be added as a column in the quotes list.
The "Commercial Proposals", "Agenda", and "Scheduled Jobs" modules must be enabled, and scheduled jobs must actually be running (cron).
A valid outgoing email address must be configured in Dolibarr.
At least one quote contact must be assigned the "Customer Contact for Proposal Follow-Up" role.
