Follow up the unpaid invoices of your customers efficiently in Dolibarr: configurable follow-up levels, follow-up letters printed in a single PDF, reminder emails with the table of invoices, manual actions for your credit controllers and a complete follow-up history on each customer. A faithful port of the Odoo module “Customer Payment Follow-up Management”.

Who is it for? Accounts receivable and credit control teams, finance managers, sales people in charge of their collections, distribution, service and industrial SMEs that want to reduce their payment delays.

Multi-level configuration

• Unlimited levels: days after due date, sequence, colour, active.
• Per level: send an email, send a letter, join invoices, manual action assigned to a user.
• Email and letter templates with substitution keys (customer, date, totals, invoice table, signature).
• 4 ready-to-use levels: first reminder, second reminder, formal notice, last notice before litigation.

Overdue payments on the customer form

• Payment follow-up tab on the third party: total due, total overdue, oldest overdue, latest and next follow-up.
• Details of overdue invoices with level, days late and litigation (invoice excluded from follow-ups).
• Payment responsible, next action, payment promise, follow-up blocking, history and notes.
• Buttons Print overdue payments, Send email, Follow up now, Manual action done, Reset.

Send Letters and Emails

• Wizard launched manually: follow-up date, emails, letters, manual actions, test mode.
• Preview of the customers with current and new level, selection of the customers to follow up.
• Summary after running and download of all the letters in one PDF.
• Customer without email: a manual action is created automatically.

Follow-up emails and letters

• Email with the table of overdue invoices, letter PDF and invoices attached, copy to the responsible.
• PDF letter with your company header: customer address, subject, level text, invoices, IBAN, legal footer.
• Content of each email kept and viewable in the history.

Manual follow-ups

• My manual actions: to do today, late, all.
• Action done form with result and next action, postpone one week.
• Tasks assigned to the payment responsible or the sales representative of the customer.

Tracking, kanban and aged balance

• My follow-ups as a list or kanban by level, filters on responsible, level, promise, litigation.
• Dashboard, aged balance (not due, 1-30, 31-60, 61-90, 90+ days), runs, history.
• Entries in the Billing and Commercial menus, Follow-up tab on invoices.

Setup and permissions

• Minimum amount, down payment invoices, sender email, copy to the responsible, attached letter, footer.
