Bids and tenders

• Tender reference, awarding authority, source and web page of the notice.
• Notification, pre-bid meeting, submission deadline, bid opening and validity expiry dates, work duration.
• Tender value, bid amount, estimated cost, expected margin, tender fee and bid security (type and validity).
• Government, private and semi-government sectors, tender types, bid types, work categories, tags and priority.

Cost estimation and quotation

• Lines grouped by section: material, labour, equipment, subcontracting, overhead.
• Catalogue products and services, quantity, unit, unit cost and margin per line.
• Contingency percentage, VAT, multi-currency with conversion rate, totals per section.
• Validate the estimate then create the quotation: one line per estimate line or one line per section.

Bid file documents

• Documents classified by type: tender documents, technical and financial proposals, compliance certificates, agreements, guarantees and bonds.
• Document date, expiry date and “submitted with the bid” flag.
• Multiple file upload, counters per type, download and delete.

Work location and Google Maps

• Site address, start location and end location with latitude and longitude.
• Embedded Google Maps (no API key needed), “View on Google Maps” and “View route” links.
• The location is carried over to the created project and to the PDF tender report.

Weighted bid evaluation

• Configurable weighted criteria: technical capacity, price, experience, compliance with the schedule…
• Score from 0 to 10 per criterion, computed weighted score and free comment.
• Overall score shown on the bid, in the PDF report and used to support the go/no-go decision.

From the won bid to the project

• Stages carry the “Enable project creation” option: the button appears at the right moment.
• The project inherits the tender details, budget, dates, customer, manager and one task per section of the estimate.
• Tender tab on the project, and an existing project can be linked to a bid.
• Mark as lost: reason for the loss, winning bidder and winning amount for competitive analysis.

Pipeline, lists and dashboard

• Kanban pipeline per stage with drag and drop, bid counts and cumulated amounts.
• Filterable list (sector, tender type, work category, tag, manager, deadlines, closed bids).
• Dashboard: open, submitted and won bids, win rate, weighted pipeline, upcoming deadlines, breakdown by stage, sector and category.
• PDF tender report: details, general information, location, estimate, evaluation and documents.

Setup, rights and multi-company

• Pipeline stages with probability, colour and flags (submitted, won, lost, folded column).
• Configurable dictionaries: tender types, work categories, bid types, tags, evaluation criteria.
• 7 detailed rights including read all bids (otherwise only your own) and project creation.
• Multi-company, prefix numbering (BID, EST), configurable deadline warning and default margin.

• Compatible with Dolibarr 16 and higher (tested on 23.x), PHP 7.4 to 8.4, MySQL/MariaDB.
