Interim Payment Certificate (IPC) Management for Dolibarr

Invoice your construction contracts on progress: from a sales order or a purchase order, issue interim payment certificates period after period, with certified quantity tracking, retention money, advance recovery, approval workflow and automatic invoice generation. 

Who is it for? Construction and civil works companies, main contractors and trade contractors, engineering offices, installers and integrators, maintenance companies and any business invoicing contracts through successive interim certificates, with or without subcontracting.

Interim payment certificates

• Customer certificates (sales order) and vendor / subcontractor certificates (purchase order), in separate menus.
• Automatic reference and sequential certificate number per contract, label, certificate type, coloured tags.
• Site, contract reference, project, site engineer, approver, billing period, submission and approval dates.
• Next certificate button: the following period is pre-filled with the previous cumulative figures and certified quantities.

Creation from the order

• Create IPC button on every validated order, in a dedicated tab.
• Wizard loading the contract lines: enter the quantities of the period or a cumulative progress percentage converted into quantities.
• Certified quantity tracking line by line: ordered, already certified, remaining and progress.
• Configurable over-certification check (block or warn) and free lines outside the contract.

Retention, advance and net payable

• Retention money: percentage of the cumulative certified work, capped by a percentage of the contract amount.
• Advance recovery: percentage of the work certified in the period, capped by the outstanding advance.
• Penalties, other deductions and additions, with base, percentage, amount, VAT and related product.
• Automatic calculation of the previous certified amount, cumulative certified work, net payable, VAT and total including tax. Variation orders and multi-currency supported.

Approval and invoicing

• Approval workflow with configurable stages: draft, measured, submitted, under review, approved, invoiced, rejected, cancelled.
• Certificates to approve queue for the designated approvers, with confirmation.
• Generation of the customer invoice or the vendor invoice: one line per certified work or a single summary line.
• Automatic negative lines for retention and advance recovery, on configurable products: the invoice total equals the net payable.

Dashboards, lists and PDF report

• Dashboard: certificates, to approve, approved, cumulative net payable, retention held, breakdowns by stage, type and project.
• List and kanban with drag and drop views, filters by type, stage, tag, responsible, third party, project and order.
• Progress billing screen: contract amount, certified to date, remaining, retention held, net payable and progress bar per order.
• Certificate PDF report: certified works, payment summary, signature boxes and configurable footer.

Rights, multi-company and setup

• 7 rights: read, write, delete, read all, approve, invoice, configure.
• Certificates tabs on orders, projects and third parties; full event log.
• Fully configurable stages, certificate types and tags; default rates, quantity check and retention and advance products; multi-company.
