Simple online signature for customer orders

Features

Adds online signing functionality to customer orders, in the same way that the Dolibarr core already supports it for commercial proposals, contracts, and interventions — but not for orders.

  • Adds a copyable public signature link to the order page (for orders with the Validated or Shipment in progress status). The customer opens the link (no login required), draws their signature, and submits it.

  • The signature is applied to a new copy of the order PDF, which is added to the order's Documents and becomes its main document.

  • The order's signed_status field is updated, and the status badge displayed on the order page reflects this change.

  • The __ONLINE_SIGN_ORDER_URL__ merge tag is available in Send order by email templates.

  • A "Change signature status" button on the order page allows a user to manually set the signature status (the back-office equivalent of the signing process performed by the customer). This action is protected by a dedicated permission: orderonlinesign > order > changestatus.

  • Online signing of an order records an event in the Agenda associated with the order (enabled by default and configurable from the module configuration page).

  • The page and the position (X/Y) where the signature image is applied to the PDF can be configured from the module configuration page.

  • User access to signature permissions can be controlled through the permission settings.

Limitations

  • Works only when the order's main document is a PDF. Main .odt documents are not stamped (the signature is nevertheless recorded, but is not visually applied to the document). This corresponds to a limitation of Dolibarr's native online signature functionality for commercial proposals, contracts, and interventions.

  • The signature is accepted only when the order is in one of the Validated or Shipment in progress statuses.

Electronic Signature Level (eIDAS)

This module implements a Simple Electronic Signature (SES) as defined by eIDAS (Regulation (EU) No 910/2014, Article 3, paragraph 10) — at the same level as that provided by the Dolibarr core for commercial proposals, contracts, and interventions, while reusing the same mechanism.

In practice, the signatory accesses a public page through a link (without logging in, identity verification, or a certificate), draws a signature, and enters their name. This name, a timestamp, and the signature image are applied to the PDF. The event is also recorded (in the Agenda and in the application log), with both records containing the signatory's name and IP address. The name and date are also printed directly on the document.

This meets the basic definition of a Simple Electronic Signature (SES) : "data in electronic form which is attached to or logically associated with other electronic data and which is used by the signatory to sign". However, it does not meet the additional requirements of an:

  • Advanced Electronic Signature (AES) : a signature that is uniquely linked to the signatory and capable of identifying them, created using electronic signature creation data that the signatory can use under their sole control, and linked to the signed data in such a way that any subsequent change is detectable.

  • Qualified Electronic Signature (QES) : an advanced electronic signature created by a qualified electronic signature creation device and based on a qualified certificate.

If your use case or jurisdiction requires an AES or QES level of assurance (for example, for certain types of contracts), you should instead use an integration with a dedicated qualified trust service provider.
