🎯 Module Overview

MBI Gift Voucher manages the complete lifecycle of multi-purpose gift vouchers in Dolibarr: from the sale at the counter through to expiry, without distorting either VAT or the cash drawer. A voucher is issued from the back office or straight from the point-of-sale payment screen, printed as a gift-ready document, then spent in one or several instalments on customer invoices as a genuine means of payment. It is aimed at shops, restaurants and service providers who sell gift vouchers and want to track them precisely, from the amount received down to the balance still owed to the customer.

🧭 Benefits

  • The cash drawer adds up: the voucher amount goes through the receipt, the customer pays for the purchase and the voucher in one go, and no surplus appears at the till.
  • VAT handled the right way round: issuing a multi-purpose voucher stays outside the scope of VAT, the tax becoming due only when the voucher is spent.
  • No voucher lost from sight: remaining balance, total outstanding liability, vouchers about to expire and redemption history are available at all times.
  • A gift-ready voucher in seconds: three document designs to choose from, with a QR code, terms of use and a personal message to the beneficiary.
  • Less data entry: batch generation for your campaigns, automatic reminders to beneficiaries, and accounting entries produced without re-keying.

⚙️ Features

Gift voucher management

  • Dedicated record with creation, editing, validation, cloning, cancellation and deletion, across five statuses: draft, active, used, expired and cancelled.
  • Automatic reference numbering in the BC2608-0008 format, using either a simple model or a fully configurable mask.
  • Voucher code generated automatically, unique, short and easy to copy by hand, shown both in the list and on the record.
  • Complete business fields: label, face value, quantity, customer, project, description and notes.
  • Beneficiary distinct from the purchaser: name, email address and personal message printed on the voucher.
  • Configurable default validity duration, with an expiration date that can be adjusted voucher by voucher.
  • Contacts, notes, documents and events tabs, customisable complementary attributes and multi-company support.
  • Sortable and filterable list across every field, with search by reference and by code.

Balance and redemption

  • Remaining balance tracked per voucher: it can be spent in one or several instalments and automatically switches to "used" once exhausted.
  • Redemption on a validated customer invoice as an internal payment, with no discount and no change to the taxable base.
  • A "Pay with a gift voucher" form added directly to the invoice card, by entering the code.
  • Automatic checks before any redemption: active voucher, not expired, sufficient balance, validated invoice, matching customer and an amount left to pay.
  • Overpayment protection: two simultaneous redemptions on the same invoice can no longer exceed the amount due.
  • Dated redemption history shown on the voucher record, with the matching invoice and payment.

Selling and redeeming at the till

  • A Gift voucher button added to the point-of-sale payment screen, sized for a touch screen.
  • Sale at the counter: enter the amount, designate the holding customer — created on the spot if needed — and an optional beneficiary.
  • The voucher amount is added to the current order, with a configurable VAT rate and an optional product for accounting mapping.
  • The voucher is only really issued once the order has been settled in full: neither a partial instalment nor an abandoned order produces an unpaid voucher.
  • Selling remains possible even when the displayed bill is already validated: the voucher is then carried by the table's open order, and the cashier is told so.
  • Redemption at the counter: code or reference typed or scanned, balance and validity displayed before committing, payment carried by the normal till workflow.
  • The voucher code appears on the receipt line, and a banner shows, once the order is settled, the final reference, the amount and the code to copy onto the paper voucher.
  • Any "gift voucher" payment presented without a voucher is refused.
  • Optional restaurant mode: the holder is picked from a list of existing customers, with one preselected, to avoid filling the database with duplicates.

Documents and delivery

  • Three voucher designs in PDF format: elegant certificate, classic certificate and modern card.
  • Every document carries the QR code, the voucher code, its value, its validity date, the beneficiary, their message, the terms of use, the VAT notice applicable to multi-purpose vouchers, plus your company logo and contact details.
  • ODT generation from your own word-processor templates.
  • Configurable draft watermark on vouchers still in draft, and specimen preview from the setup page.
  • Sending the voucher by email with the document attached, and a direct send button to the beneficiary whose address is pre-filled.
  • Public presentation page for the voucher, reached from the QR code without logging in, read-only and protected against repeated attempts.

Accounting

  • Issuance receipt created automatically when a voucher is validated, from the bank or cash account to the outstanding liability account, outside the scope of VAT.
  • Redemption entry and expiry entry generated automatically, without VAT, with a configurable journal and accounts.
  • No double posting: vouchers sold at the till do not duplicate the movements already recorded by the receipt.
  • Lock on vouchers already posted: editing, deletion, cancellation, set back to draft and reopening are blocked as soon as an accounting entry, a receipt or a redemption exists.
  • Accounting code of the "Gift voucher" payment mode kept in sync automatically.

Monitoring and automation

  • Dashboard when opening the module: breakdown of vouchers by status, outstanding liability, vouchers expiring within thirty days, latest vouchers created and latest redemptions.
  • Outstanding widget that can be added to the Dolibarr home page: amount not yet spent, number of active vouchers and vouchers expiring soon.
  • Batch generation of up to five hundred vouchers at once, with the same amount and validity, unique codes and optional automatic validation.
  • Scheduled job to process vouchers that have reached their expiry date.
  • Scheduled job to remind beneficiaries by email before expiry, with a configurable lead time and no duplicates.
  • Separate read, write and delete permissions, with external users blocked.

🧩 Requirements and Dependencies

  • Mandatory: the Dolibarr Third parties module, since a gift voucher is attached to a customer.
  • Mandatory to redeem a voucher: the Invoices module, redemption taking the form of a payment on a validated customer invoice.
  • Optional: the Banks and cash module, required to create the issuance receipt automatically and to redeem a voucher at the till.
  • Optional: the Accounting module, required for the automatic redemption and expiry entries.
  • Optional: the Point of sale (TakePOS) module, required to sell and redeem a voucher at the counter.
  • Optional: the Projects module, to attach a voucher to a project.
  • Optional: the Multi-company module, supported by isolating each entity's data.
  • Mandatory for the scheduled jobs: the Scheduled jobs module enabled and a working server cron task.
  • Mandatory for sending emails: Dolibarr outgoing email settings configured.
  • Incompatibility: no known incompatibility with another module is declared.

✅ Compatibility

  • Minimum Dolibarr required: 22.0
  • Tested from Dolibarr 22.0 to 23.0.x No maximum version is technically blocked, but the till integration relies on TakePOS internals that may change between major releases: beyond 23.0, check selling and redeeming a voucher at the till before going live.
  • Module designed to blend into the standard Dolibarr interface: menus, lists, records, tabs and documents follow the software's conventions.
  • Minimum PHP required: 7.4 — tested up to PHP 8.2.
  • Available languages: French, English, Spanish, Italian, German — all five translations are complete and have been checked key by key.

🔧 Installation

  1. Download the module ZIP archive without extracting it.
  2. In Dolibarr, go to Home > Setup > Modules/Applications.
  3. Open the Deploy/install external app/module tab.
  4. Upload the module ZIP archive.
  5. Search for and enable MBI Bon Cadeau.
  6. Configure the module options if needed from its administration page.
  7. Grant the required permissions to the users concerned.

For a manual installation, copy the mbiboncadeau folder into the /htdocs/custom/ directory of your Dolibarr installation, then resume at step 2. The folder name must be kept as is: the public page reached from the voucher QR code is referenced under that path.

🚀 Getting Started

  1. Open the module setup page and, in General settings, set the default validity duration and enter the terms of use to be printed on the vouchers.
  2. Check the suggested accounting accounts with your accountant, then decide whether the issuance receipt and the automatic entries should be created, along with the bank or cash account involved.
  3. Choose the voucher design used by default in the document templates table, at the bottom of the setup page.
  4. Grant the users concerned the read, write and delete permissions on gift vouchers.
  5. To sell and redeem vouchers at the till, fill in the Point of sale section and, in particular, the account receiving redeemed vouchers: without it, redeeming a voucher at the counter fails. That account cannot be a cash account.
  6. For expiry reminders and expired voucher processing, enable the matching scheduled jobs from Home > Setup > Scheduled jobs: they ship disabled.
  7. Create a first voucher, validate it, generate its document and check that it can be redeemed correctly on a test invoice.

🔄 Updates and Uninstallation

  • Back up the database and the Dolibarr files before any update.
  • Read the ChangeLog and install the new archive over the existing version.
  • After replacing the files, disable then re-enable the module: this step applies the database upgrades and registers the module hooks again. Without it, the till-related features stay invisible.
  • Disabling the module removes its menus, permissions, widgets, scheduled jobs and temporary working directory. The module settings are kept and found again when it is re-enabled.
  • Data created by the module is kept: neither the gift vouchers, nor their redemption history, nor the generated documents, nor the "Gift voucher" payment mode are deleted when the module is disabled. Deleting the module files does not remove that data either, which stays in the database until it is removed manually.

🛠 Changelog

UPDATE 3.0.0 (2026-09-09)

  • ⚠️ Action required: disable then re-enable the module after updating to apply the changes introduced by this version.
  • ⚠️ Action required: if you were running version 1.x, this update is mandatory; the module did not work on those databases.
  • Improved: the module's technical identification number changes; the permissions already granted to your users and groups are carried over automatically, you have nothing to tick again.
  • New: a redemption can be cancelled, from the voucher record or automatically when the matching payment is deleted; the balance returns to the voucher, and the history keeps both the redemption and its cancellation.
  • New: the public page reached from the QR code can be closed from the setup, for those who do not print a QR code.
  • New: the voucher code can be hidden in the list, where only its last four characters then appear; the record still shows it in full.
  • Improved: the public page shows the balance left on a partly spent voucher, instead of its original value.
  • Improved: the "Gift voucher" panel of the invoice record shows linked vouchers again, with their status and total.
  • Security: the public page now genuinely withstands repeated attempts, including from an automated tool that accepts no cookies.
  • Security: at the till, only the voucher code is accepted; its reference, printed on the same paper and easy to guess from one to the next, no longer is.
  • Security: a used, expired or cancelled voucher can no longer be re-validated, which used to reload it to its original value.
  • Security: the voucher code is no longer written in clear on the till receipt line, a document that is kept and readable by all.
  • Security: a voucher can no longer settle an invoice of another company, nor be deleted from another company's list.
  • Security: the public voucher page closes when the module is disabled.
  • Fixed: on databases installed under version 1.x, the update finally creates the missing columns; no voucher could be read or created there.
  • Fixed: on a fresh installation, a voucher can be validated without having to guess that a bank account must be chosen first.
  • Fixed: the Documents tab and PDF voucher downloads work for every user, no longer for administrators only.
  • Fixed: the QR code printed on the voucher stays valid whatever the name of the modules directory and the site address.
  • Fixed: selling a voucher at the till can no longer fail silently after the customer has paid.
  • Fixed: the value of an already validated voucher can no longer be changed behind the back of the spendable balance.
  • Fixed: menu entries and several module messages are at last shown in the user's language.
  • Compatibility: tested from Dolibarr 22.0 to 23.0, and up to PHP 8.2.

UPDATE 2.6 (2026-08-20)

  • New: a partly spent voucher shows as "Partly used", and the dashboard counts it separately with the balance left to spend.

  • Improved: on a till touch screen, the sale window left the code and the Close button below the edge of the screen.
  • Improved: the voucher beneficiary is now required when selling at the till, since their name is printed on the voucher.
  • Improved: the receipt states, for every voucher redeemed, the balance left on it or that it is now empty.

  • Fixed: the menu icon was replaced by a grey notepad on recent installations; the gift icon is back.
  • Fixed: a second "Gift voucher" key with no icon was added to the till keypad and did nothing; it is gone.
