Loan Voucher – Complete equipment loan management for Dolibarr

Loan Voucher lets you create, monitor and close equipment loans granted to customers directly from Dolibarr. The module brings together customer details, loaned products, serial numbers, due dates, internal owners, PDF documents and related business objects.

It is suitable for sales demonstrations, replacement equipment, technical trials, emergency equipment and any other temporary provision of products.

A complete management workflow

• Create a loan voucher for a customer and one of its contacts.
• Enter the purpose, start and end dates, public note and private note.
• Assign the voucher to a salesperson or responsible department.
• Manage responsible departments from Dolibarr dictionaries.
• Track each status: draft, validated, in progress and completed.
• Extend the expected return date or close the loan.
• Convert the voucher directly into a customer order or invoice.

Products and traceability

• Add products or free-text lines to a loan voucher.
• Manage quantities, prices, VAT, discounts and totals excluding tax.
• Optionally record a serial number for each line.
• Add a product-specific note that is included in the PDF document.
• Display products, serial numbers and comments clearly on the voucher card.

Due dates and internal reminders

The module monitors expected return dates and can organize reminders for the assigned salesperson or department. Both the first reminder before the due date and the interval between overdue reminders can be configured.

Customizable PDF documents

• Choose between Custom C3+, Crabe, Octopus and Sponge templates.
• Select the document language when generating the PDF.
• Customize the message displayed below the voucher number.
• Customize the paragraph displayed before the signatures.
• Add a header and footer logo or image.
• Adjust image positions and dimensions visually.
• Use a visual editor with sample data to check the layout before generation.
• Preview the generated PDF directly from the voucher card.

Flexible numbering

Use standard numbering, a date-based sequence or a custom mask compatible with Dolibarr variables. The initial counter value can be configured in the module settings.

Native Dolibarr integration

• Dedicated dashboard with indicators, recent vouchers and drafts to complete.
• Sortable and filterable list with per-column filters.
• Available from the Commercial area.
• Native linked objects to view or attach orders, invoices and other documents belonging to the customer.
• Business data, settings and uploaded images are retained when the module is temporarily disabled.
• Automatic migration from the previous table structure when detected.

Installation follows the standard Dolibarr process for external modules: place the archive in the custom directory, then enable Loan Voucher from the Modules/Applications page.
