Import e-invoices into Dolibarr reliably and completely

E-invoices come in different formats: as XRechnung, as ZUGFeRD or Factur-X invoice, as XML or as PDF with embedded data. This module reads them all, checks them with the official validator and guides you step by step to a correct supplier invoice in Dolibarr - compliant, traceable and without handing data to external services.

Why this module?

• All e-invoice formats: XRechnung (UBL and CII) and ZUGFeRD/Factur-X as XML or hybrid PDF are detected and read automatically. Invoices without an e-invoice (plain PDF, scan) arrive in the same inbox and are attached to the supplier invoice; you enter the header data and lines by hand next to the PDF preview - the module does not include text recognition (OCR).
• Upload or straight from the mailbox: upload files by drag & drop, or take invoices directly from the mailbox through Dolibarr's e-mail collector - further attachments of the e-mail such as delivery notes come along.
• Guided processing instead of a blind import: one processing page leads you through supplier, payment data and lines. Suppliers are recognised by their VAT ID or created from the invoice data, products are suggested from the supplier's article numbers. Lines can be selected, combined into your own lines or added to an existing draft; a live comparison shows at any time whether the totals match the invoice.
• Rounding differences resolved automatically: in practice there are several permitted ways to calculate VAT, and they lead to differences of a few cents. The module includes an automatic that picks the matching method and so avoids these differences. If larger differences are found (e.g. a calculation error by the supplier), the module reports them and does not process the invoice.
• Every invoice type booked correctly: invoices, credit notes, down payment and final invoices, allowances and charges, foreign currencies with the stored exchange rate, invoicing period and reverse charge. For corrected invoices, the original invoice is cancelled with a storno credit note at the click of a button - not silently replaced.
• Readable view of the e-invoice: the built-in e-invoice viewer shows every XRechnung and ZUGFeRD invoice as a clear invoice form with lines, attachments and validation notes - printable too. No external viewer needed.
• Official validation and proven tools, local: the KoSIT validator of the German Coordinating Office for IT Standards checks every e-invoice against XRechnung and EN 16931; the validation report is kept with the supplier invoice, invalid invoices can be blocked. Mustang (Mustangproject), the established open-source library for ZUGFeRD/Factur-X, reads hybrid PDFs, converts CII and renders the invoice view. Both run on your own server and are installed with one click.
• Clear notes when something is wrong: understandable rejection reasons instead of error codes, a warning for duplicate invoices, and a ready-made text to pass on to the supplier.
• With a comprehensive handbook: the Handbuch E-Rechnungs-Import (PDF, German) explains everything in detail - daily use, every error case with its solution and the setup, with a cheat sheet for accounting.

How it works

1. Inbox: upload the invoice or collect it with the e-mail collector. The format is detected, the e-invoice is read and checked at once.
2. Overview: the incoming list shows seller, amount, format, validation result and status; the card of each invoice shows all data read, the e-invoice viewer and the embedded attachments.
3. Processing: choose the supplier, check the lines, take them over - as a new supplier invoice or into an existing draft.
4. Filing: the supplier invoice is created as a draft with the original file, validation report and attachments; a tab leads back to the e-invoice at any time.

Input VAT and data protection

Input VAT security: deducting input VAT (in Germany under section 15 of the VAT Act, UStG) requires a formally correct invoice - a faulty e-invoice can cost you the deduction at the next tax audit. The module detects faulty invoices before they are booked; the complete validation report stays with the supplier invoice as evidence.

GDPR compliant: all processing takes place locally on the Dolibarr server. Neither the XML validation with the KoSIT validator nor the PDF/CII processing with the Mustang CLI sends data to external parties. A data processing agreement under the GDPR, as required for external services, is therefore not needed.

Safe with data from outside: the content of incoming invoices is displayed safely everywhere, executable attachments are stored harmlessly; Dolibarr's permissions and entities are respected.

Requirements

Tested with Dolibarr 20 to 24 and PHP 7.4 to 8.5.

Please note: because of their size, the two third-party components are not included in the module (together almost 100 MB; uploading the module in Dolibarr would fail at the size limit):

• KoSIT validator - official validator of the German Coordinating Office for IT Standards (KoSIT) for XRechnung/EN 16931, Apache License 2.0
• Mustang CLI (Mustangproject) - XML extraction from hybrid PDFs, CII-to-UBL conversion and e-invoice viewer, Apache License 2.0

After installing our module, both components can be downloaded and installed with one click on the module's setup page - the downloads come directly from the official GitHub repositories. Only files with the published checksum are installed; the setup page shows for each tool whether it matches the official release.

Using the two tools requires Java on the Dolibarr server, e.g. OpenJDK 11+ or 17 LTS. Note: with our hosting offer at DoliCenter, Java is available by default for all installations hosted with us.

The module also works without Java in a reduced mode - XRechnung invoices in UBL format are processed by the built-in PHP parser, plain PDF invoices are accepted and entered by hand. Reading CII (ZUGFeRD/Factur-X as XML or hybrid PDF) and the e-invoice viewer require the Mustang CLI, validation for input VAT purposes requires the KoSIT validator.

An internet connection is needed once to install the external tools. All invoice processing then takes place locally on the Dolibarr server, without data being sent to external parties.

Shared tools path with the XRechnung Export module: if you also use our module XRechnung Export, both modules share the same KoSIT and Mustang installation - no duplication, no two separate downloads.
