E-Invoice Export (XRechnung and ZUGFeRD) - with Conformity Check

Detailed Description

This module allows you to create all types of Dolibarr invoices as electronic invoices (e-invoices) – either in the XRechnung format (XML file) or in the ZUGFeRD format (PDF with embedded XML invoice data). This way you avoid any problems with invoices being rejected by your customers.

New: In addition to the XRechnung format, the module now also generates the ZUGFeRD format (PDF). The module has therefore been renamed to E-Invoice Export (previously: XRechnung Export). Of course, all existing customers can upgrade to this new version free of charge within the update period (1 year).

Two formats, one module: You choose the appropriate format depending on the recipient – XRechnung for public authorities and clients that require a pure XML file, or ZUGFeRD as a hybrid format that combines a human-readable PDF invoice with machine-readable XML data. Both formats comply with the German and European requirements for electronic invoices (EN 16931).

Support for a wide range of invoice types: E-Invoice Export supports not only standard invoices but also other invoice types. The module also generates correct credit notes, down payment invoices and final invoices. It transfers the invoice parameters from Dolibarr into the e-invoice, such as service periods of invoice lines, discounts, and the date of supply. And when invoices are addressed to public authorities, special fields can be activated (Leitweg-ID / routing ID, official project number).

Always correct invoices: A special feature of this module is the optional integrated conformity check of every generated e-invoice. Since customers are obliged to validate all incoming invoices, and the obligation to pay only begins upon receipt of a correct e-invoice, it is advisable to run your own quality check on outgoing documents. The check is performed with the appropriate tool for each format: XRechnung invoices are validated with the official KoSIT validator, ZUGFeRD PDFs with the well-established open-source tool Mustang – including the embedded XML invoice data. Errors can arise not only from technical causes but also from missing information in special constellations.

GDPR-compliant: All invoice validations are performed locally on the Dolibarr server, without any data being transferred to third parties. Therefore, no data processing agreement (DPA) pursuant to the GDPR is required, as would be the case with external validation services.

Helpful during the transition period: For the XRechnung format, you can configure that a classic PDF invoice is attached to each e-mail in addition to the XML file. This clearly distinguishes what constitutes the legally binding data (XML), while you additionally send a readable invoice (PDF) that is helpful for your customers during the transition period. For the ZUGFeRD format, this is not necessary – here, the readable PDF view is already an integral part of the invoice file.

Requirements

Please note: Due to their size, the validation tools are not included directly in the module (uploading the module to Dolibarr would fail because of the size). After installing our module, the official KoSIT validator (approx. 50MB, for XRechnung) and the Mustang tool (approx. 60MB, for ZUGFeRD) can be downloaded and installed with a single click directly on the module's setup page.

Using the validation tools requires Java on the Dolibarr server, e.g. OpenJDK 11+. The integration of the validators is optional; e-invoices can also be generated without Java installed. Note: With our hosting offer at DoliCenter, Java is available by default for all installations hosted with us.

An internet connection is required to download the validation tools for installation. All invoice validations are performed locally on the Dolibarr server, without any data being transferred to third parties.
