E-Invoice Export (XRechnung and ZUGFeRD) - with Conformity Check

E-invoices straight from Dolibarr - validated before they go out

This module turns your Dolibarr invoices into e-invoices according to the European standard EN 16931: as XRechnung (XML file, the German standard required by public authorities and clients who want pure data) or as ZUGFeRD/Factur-X (PDF with embedded XML data), which anyone can read and any accounting system can process automatically. On request, every file is validated right away with the official validator - locally on your server, without passing data to external services.

Why this module?

• Two formats, freely combined: XRechnung 3.0 and ZUGFeRD/Factur-X (profile EN 16931, PDF/A-3). One default template applies to all invoices; individual customers can have their own e-invoice format, which their new invoices get automatically.
• Your usual invoice layout: the readable PDF for XRechnung and the layout of the ZUGFeRD invoice are created with any Dolibarr invoice template, including ODT templates with automatic PDF conversion. Corrective invoices can use a template of their own.
• All invoice types: invoices, down payment and final invoices with deduction of the down payments, corrective and replacement invoices referring to the original invoice, discounts and charges, date of supply and service period, foreign currency with the VAT amount additionally in euros.
• Special VAT cases marked correctly: reverse charge, intra-community supplies, exports, VAT-exempt supplies and small businesses under section 19 of the German VAT Act (§ 19 UStG). For 0 % lines you set the tax category through the code of the VAT rate; missing details such as the customer's VAT ID are reported before the e-invoice is created.
• Official validation, locally: the KoSIT validator of the German Coordination Office for IT Standards checks every XRechnung and the data inside the ZUGFeRD PDF; Mustang (Mustangproject), the established open-source library for ZUGFeRD/Factur-X, additionally checks the complete PDF. The validation report is stored with the invoice, and errors point to the missing master data.
• No invalid invoice by accident: if an e-invoice is invalid according to its validation report, or missing, the invoice card and the email form show a clear notice; mass sending skips such invoices with a message.
• Issued means issued: validated e-invoices stay unchanged, even where Dolibarr would regenerate the document by itself, for example on a payment recorded through an interface. They are regenerated only when you explicitly ask for it.
• For public authorities, retail and proof of service: Leitweg-ID (the routing ID German public authorities require) and official project number, GLN and GTIN for retail chains and EDI, the customer's order number, and attachments such as proof of service embedded in the e-invoice.
• With a comprehensive handbook: the Handbuch E-Rechnung Export (PDF, 24 pages, in German) explains everything in detail - daily use, every setting and its effect, and the special VAT cases, with a cheat sheet for accounting.

How it works

1. Set up: enable the formats, choose the default template, install the validation tools with one click.
2. Validate the invoice: on validation the e-invoice is created - optionally only then, so editing a draft stays smooth - and checked right away.
3. Send: in the email form the e-invoice and, if you like, the readable PDF are already attached, also in mass sending.
4. Filing: e-invoice, PDF and validation report are stored with the invoice under its linked files.

Legal certainty and data protection

E-invoicing obligation in Germany: since 2025, businesses in Germany must be able to receive e-invoices. From 2027, businesses with a prior-year turnover above 800,000 euros must issue e-invoices, from 2028 all businesses (with exceptions, e.g. for small-amount invoices). Your customers have to check incoming invoices, and a faulty e-invoice can delay payment or put their input VAT deduction at risk. Checking your invoices before sending them saves queries.

What the module does not do: validation covers the formal correctness of an e-invoice, not its content. Invoices are sent by email from Dolibarr; transmission via Peppol or uploading to the invoice portals of public authorities is not included - you upload the generated file there yourself.

GDPR-compliant: all checks run locally on the Dolibarr server, without any data being transferred to third parties. Therefore no data processing agreement under the GDPR is required, as it would be with external validation services.

Requirements

Tested with Dolibarr 20 to 24 and PHP 7.4 to 8.5.

Please note: due to their size, the two validation tools are not included in the module (together almost 100 MB; uploading the module to Dolibarr would fail because of the size limit):

• KoSIT validator with the XRechnung configuration - official validator of the German Coordination Office for IT Standards (KoSIT), Apache License 2.0
• Mustang CLI (Mustangproject) - validation of the complete ZUGFeRD PDF, Apache License 2.0

After installing our module, both tools can be downloaded and installed with one click on the module's setup page - directly from their official GitHub repositories. Only a file matching the published checksum is installed; the setup page shows for each tool whether it matches the official release.

Validation requires Java on the Dolibarr server, Java 17 (LTS) or newer. XRechnung and ZUGFeRD are created without Java as well, then without validation. Note: with our hosting offer at DoliCenter, Java is available by default for all installations hosted with us.

An internet connection is needed once to install the tools. All checks then run locally on the Dolibarr server.

Tools shared with the E-Invoice Import module: if you also use our module E-Invoice Import, both modules share the same KoSIT and Mustang installation - no second download.
