The UltimatePropale module replaces Dolibarr's native PDF template for commercial proposals (quotes) with a fully customisable template: ultimatepropale_propal.
It lets you define your brand identity (logo, colours, margins, page background, column widths), choose precisely what is printed on the proposal, append your general sales conditions or extra PDF files, add barcodes and QR codes, and have the proposal signed online by your customer.
No line of code is needed: everything is configured from the module's administration screens, with graphic previews and mouse resizing handles.
UltimatePropale is the edition of the UltimatePDF module dedicated to proposals. For orders and invoices, see UltimatepdfLight or UltimateInvoice. For contracts, shipments, delivery notes, expense reports, interventions, projects, products/BOMs or supplier documents, the full UltimatePDF version is required.
| ✅ Logo, second logo and company alias | ✅ Image or PDF page background |
| ✅ Document margins | ✅ Width of each column |
| ✅ Document colours and font | ✅ Footer and free text |
| ✅ Visible columns of the line table | ✅ Address and contact blocks |
| ✅ Versions and presentation pages | ✅ Approval block, online signature and printed signatures |
| ✅ Barcodes and QR codes | ✅ Merged GSC and extra PDF files |
The module is built around two distinct notions:
The Design (Models tab) defines what the proposal looks like: colours, margins, logo, company alias, page background, column widths.
The Options and Proposals pages decide what is printed on the proposal: visible columns, address blocks, legal mentions, approval block, printed signatures.
Several Designs can coexist. Only one is active by default, and a selector at the top right of the application switches between them instantly, without going back to the setup.
Each block of the Design form has its own Save button: you validate block by block without losing what you entered in the others.
Page background: background image or background PDF, to use a pre-designed letterhead, with transparency and X/Y positioning settings.
Header: logo height and width, second logo for a partner or a certification, sender block width with drag-and-drop preview and a French postal standard window envelope preset.
Company alias: print a company name, address, capital or VAT number different from the real legal entity, for a trade name or a subsidiary.
Vector icons: the phone, mobile, fax, email and website icons of the address blocks are Font Awesome icons, sharp at any zoom level, with a colour that can be set per Design.
Margins and columns: PDF margins and width of each column of the line table (reference, picture, VAT, unit price, quantity, unit, discount), resizable with the mouse on a graphic preview.
Footer: font size, height reserved for the free text, text and background colours.
Font: choice of the document font, with DejaVuSans for extended or Cyrillic character sets.
Export / import: each Design is exported to a JSON file and imported on the same Dolibarr or another one, including a Design exported from UltimatePDF, UltimatepdfLight or UltimateInvoice. The imported Design is created disabled, and renamed if its label already exists: nothing is overwritten.
Real PDF preview: a button of the form generates the PDF of the most recent proposal with the settings being entered, without saving them. The blocks of the form fold like an accordion.
Options are enabled independently of one another, with a simple checkbox:
| Lines | Line numbering, product picture, unit price excl. tax, discount, price after discount, quantity, weight and total weight, unit, dashes between lines, description hidden by default |
| Header and addresses | Recipient and customer details, professional IDs, intra-EU VAT number, linked project, linked objects, header not repeated, text associated with the date, fold mark |
| Sales representative | "Case followed by" mention with the name and email of the internal sales representative following the proposal |
| Proposal specific | Version management, additional presentation pages before the proposal, VAT reverse charge mention (construction subcontracting), hiding of the proposal date, delivery date or customer references |
| Signature | Approval block, online customer signature area filled from Dolibarr's public signature page, manager's and sales representative's signatures (images) |
| GSC | A general sales conditions file is uploaded from the Options page, then appended to the proposal, with optional default preselection. The GSC are appended on every generation, including on validation and during mass actions |
| Additional files | Once the option is enabled on the Proposals page, one or more PDF files can be merged with the proposal directly from its card, with optional page renumbering |
| Product PDFs | The products' technical PDF sheets can be appended automatically after the proposal |
The proposal can open with a genuine sales pitch, then be signed by the customer from a web page, with no printing or scanning.
| Cover page | Four supplied backgrounds (blue, cyan, green, orange) or your own cover, image or PDF, chosen in the Design. The logo, title, customer name and proposal dates are printed over it |
| Presentation pages | From the proposal card, each attached PDF is placed before the proposal (presentation) or after it (appendix), with a single choice in the "Position" column |
| Continuous footer | Pages merged before and after the proposal keep their format and orientation, and receive the proposal footer with continuous "n / total" page numbering |
| Online signature | The customer opens the Dolibarr signature link, types their name, draws their signature and confirms: it is placed in the "Agreed and signed" frame and the proposal switches to the Signed status |
| Always on the right page | The template tells the PDF the exact page of the "Agreed and signed" frame: the cover and presentation pages are taken into account, and appendices or terms and conditions added afterwards never move the signature |
Product barcodes (EAN13 with check digit, CODE128, CODE39) and third-party barcodes, at the top or bottom of the page.
Company (MyCompany) or third-party QR codes. Only one QR code at a time is allowed at the top of the proposal, to avoid any overlap.
UltimatePropale recognises the milestone lines of the Milestone module: they are not treated as standard product lines in the line weight and unit price after discount calculations, and keep their own formatting in the PDF.
A complete guide in English, French, German, Spanish and Italian can be read directly from the module setup, User guide tab, in the interface language.
It details every option screen by screen, with a single end-to-end thread: creating a Design, setting the options, generating and signing a proposal. It is updated with each version.
| Dolibarr | Version 24.x |
| PHP | Version 8.2 minimum, tested up to PHP 8.5 |
| Dolibarr modules | The standard Commercial proposals module must be enabled |
| Incompatible modules | UltimatePropale cannot be active at the same time as UltimatePDF, UltimatepdfLight or UltimateInvoice |
| Access rights | The module administration pages are protected by the ultimatepropale → config right |
The module zip weighs about 1.5 MB: it fits under the 2 MB upload limit applied by default by Dolibarr and by PHP, but a more restrictive installation may reject it. Three methods are available, from the simplest to the most technical.
Method 1: installation from the Dolibarr interface
Home → Setup → Modules/Applications, Deploy/install external app/module tab.
Choose the module .zip file, then click on Upload.
If Dolibarr answers "File size is too large or file not provided", one of the following three limits is too low (the smallest one wins):
| Dolibarr limit (MAIN_UPLOAD_DOC) | Home → Setup → Security, Files tab, in KB (2048 KB at installation): enter for example 10240 |
| upload_max_filesize (PHP) | php.ini or hosting control panel (2M by default): for example upload_max_filesize = 10M |
| post_max_size (PHP) | php.ini or hosting control panel (8M by default): for example post_max_size = 12M, always greater than or equal to upload_max_filesize |
The current values are shown by hovering the information icon to the right of the Upload button, and in Home → Admin Tools → About PHP. After changing php.ini, restart the web server or PHP-FPM if your hosting provider does not do it. On shared hosting, these limits cannot always be changed: use method 2 or 3 instead.
Method 2: manual installation on the server (SSH)
Copy the zip to the server and unzip it: unzip module_ultimatepropale-X.Y.Z.zip -d /tmp/ultimatepropale_zip
Copy the module folder: cp -r /tmp/ultimatepropale_zip/htdocs/ultimatepropale /path/to/dolibarr/htdocs/custom/
Give ownership to the web server if needed: chown -R www-data:www-data /path/to/dolibarr/htdocs/custom/ultimatepropale
Check that the module is located in htdocs/custom/ultimatepropale (and not htdocs/custom/htdocs/ultimatepropale).
Method 3: FTP / SFTP upload (last resort)
Unzip the archive on your computer: it contains an htdocs folder, which itself contains the ultimatepropale folder.
With an FTP/SFTP client (FileZilla for example), upload the ultimatepropale folder (neither the zip nor the surrounding htdocs folder) into the Dolibarr custom directory (the one next to admin, core, conf…; depending on the provider, inside htdocs, httpdocs, www or public_html).
Check in the client log that no file failed, then that the path …/custom/ultimatepropale/core/modules/modUltimatePropale.class.php exists.
Then
Enable the module from Home → Setup → Modules, Atoo-Net tab.
Select the ultimatepropale_propal template in the Models dropdown list of the proposal card.
Choose ultimatepropale_propal as the default template under Home → Setup → Modules → Commercial proposals (Default column): it is the one used by validation and mass actions. The former ultimate_propal template disappears with UltimatePDF.
Align your proposals with your brand identity: without having a custom PDF template developed.
Sell under a trade name: use the company alias to print a company name or address different from the legal entity.
Have your proposals signed: printed approval block, or online customer signature area.
Present your offer: add presentation pages before the proposal and track its successive versions.
Send your proposals by mail: use the window envelope preset and the fold mark.
Always append your GSC: automatically add the right contractual document and the products' technical sheets after each proposal.
What is the difference with UltimatePDF, UltimatepdfLight and UltimateInvoice?
UltimatePropale is the edition of UltimatePDF limited to proposals. UltimatepdfLight covers proposals, orders and invoices, UltimateInvoice invoices only. UltimatePDF also covers contracts, shipments, expense reports, interventions, projects, products and supplier documents.
Does the module modify the Dolibarr core?
No. UltimatePropale adds an extra document template and relies on standard hooks. The native PDF templates remain available: you can go back at any time by selecting them again on the card.
Can I have several different layouts?
Yes. Create as many Designs as needed. Only one is active by default, and a selector at the top right of the application switches from one to another.
Can I reuse a Design from UltimatePDF?
Yes. Export it to JSON from UltimatePDF, UltimatepdfLight or UltimateInvoice, then import it into UltimatePropale.
Are technical skills required?
No. The whole configuration is done from the administration screens, with graphic previews. No file needs to be modified.
Is the module compatible with the milestones of the Milestone module?
Yes. Milestone lines are recognised and keep their own formatting in the PDF.
Are my existing proposals modified?
No. Only the proposals regenerated after the template is enabled use the new layout. PDF files already produced remain untouched.
If I add a cover, presentation pages and terms and conditions, does the online signature land in the right place?
Yes. On each generation, the template writes into the PDF the number of the page carrying the "Agreed and signed" frame; Dolibarr places the signature there, whatever the number of presentation pages and the length of the appendices. Just remember to regenerate the PDF after any change to the proposal, before sending the link.

Before starting, make a full backup of:
The Dolibarr database
The Dolibarr documents directory
After configuration, generate a short proposal and a long one spanning several pages, then check the address blocks, totals, footer and the absence of blank pages before rolling out the template.
