BOQ Workflow: Bills of Quantities, templates, signatures and customer portal for Dolibarr

Manage the Bills of Quantities (BOQ) of your construction and contracting projects in Dolibarr: reusable estimate templates, tab based BOQ form with Materials, Labours, Overhead and Signatures, quotation creation, manager signature and a customer portal where your customers view, sign and accept their BOQs and print the PDF report.

Estimate templates

Tab based BOQ form

• Tabs Materials (quantity × cost), Labours (workers × hours × hourly rate), Overhead, Signatures, Summary and Notes.
• Coloured job types (civil works, electrical, site administration…) and summary by job type.
• Inline entry, autofill from the product, customer and project links, site location.
• Statuses Draft, Validated, Sent, Signed and accepted, Refused, Canceled; list and kanban views.

Quotations from the BOQ

• Create Quotation button: Dolibarr commercial proposal linked to the BOQ.
• One line per BOQ line, per section, per job type or a single global line.
• Markup, VAT and immediate validation; automatic creation when the customer accepts (option).

Manager signature

• Manager signature popup: Auto (typed name), Draw or Load an image.
• Name, date and user stored; approval required before the customer signature (option).

Customer portal “My Account”

• Portal access per customer contact with invitation email and password reset.
• My Account: list of BOQs, form with Materials, Labours, Overhead and Signatures tabs.
• Sign & Accept (signature popup), Decline with reason and Print buttons.
• Secure link by email for direct access without login; sale prices, cost prices or quantities only.

Signatures and PDF report

• Signatures tab gathering manager and customer signatures (name, date, IP, comment).
• BOQ PDF report with all signatures and internal costing PDF (cost, markup, sale).
• Email notification of the manager when the customer signs or declines.

Revisions, tracking and dashboards

• Revisions (REV1, REV2…) with cost variations, locking, full history.
• Dashboard, list of signatures, lines grouped by job type.
